Your New Role
You will provide high quality administrative support within the Service Quality Team and LADO (Local Authority Designated Officer). The role plays a vital part in the administration and smooth-running of business processes throughout the service and in the support of practitioners in enabling them to undertake their duties in safeguarding vulnerable children in Portsmouth as well as supporting the service to achieve its statutory and corporate responsibilities.
Most work involves both written and oral communication to provide high quality customer care and the production of accurate and professional records, as well as the ability to multi-task and work well under pressure.
Your duties will include many or all of the following:
- Taking minutes at meetings & panels of the more complex safeguarding matters, including those dealing with sexual and/or physical abuse or neglect. In addition, taking minutes that include complex terminology or content.
- Co-ordinating the LADO, Local Authority Designated Officer, administration.
- Creating chronologies
- Organising planning and strategy meetings
- Coordinating and sending all invitations to Child Protection Conferences.
- Printing and preparing and sending reports for meetings and conferences
- Planning, organising and scheduling Child Protection conferences within required timescales
- Completing Minutes within required timescales
- Entering data into caseload systems.
- Dealing with queries via email and telephone, communicating with professionals and service users on a daily basis.
- Managing diaries.
- Coordinating minute taking tasks across locality teams.
- Sorting post, sending letter in a secure manner.
- Dealing with all correspondence, including confidential information.
- Supporting the preparation for Ofsted inspections and providing specialist administrative support to inspections.
What you’ll need to succeed
You will have experience of working in an administrative role within a busy office environment and be able to take accurate, detailed minutes of complex meetings which will contain confidential and sensitive information.
